Administration Position

Milne Craig have an exciting opportunity for an IFA Support Administrator. Based in Paisley, we are a leading Wealth Management and Accountancy firm. The successful candidate will have a minimum 2 years’ experience in an IFA environment and have excellent working knowledge of a full range of Financial Products.


Role Definition :

Work as part of a team to enable the Advisers to maintain a portfolio of high net worth clients through liaising with policy providers for policy details, obtaining policy illustrations, processing new business applications and tracking to completion, inputting transaction details on Adviser Office and assisting with collections of outstanding fees and commissions.


Job Requirements :

  • Ensure the back office system is maintained with current client personal details and compliance information
  • Liaise with product providers regarding policy details, obtain illustrations for new requests and dealing with any existing policy queries
  • Compile supporting paperwork for the suitability reports
  • Ensure new business applications are processed and tracked to completion, recording details of all transactions onto computer records (Adviser Office) accurately and timeously
  • Actively pursue outstanding commissions and fees and resolve any issues which may prevent their payment
  • Produce valuations and 6 monthly reviews accurately and timeously
  • Dealing with alterations to existing plans, including fund switches online, changes to withdrawals, changes to death benefits nominations, online instructions for purchases/sales
  • Requesting retirement illustrations and OMO quotes and collating information for presentation to IFA
  • Running diary system to ensure return of documents and work completed
  • Reviewing client fee basis and determining charging structures if changes required
  • Running mailshots and using query builder on 1st
  • Assist in general office administration
